The following is a timeline for your activities as a Senior Project faculty coach for the common tasks that all teams are required to do. This timeline aligns with the project timeline for the teams. You will also need to be reviewing the project-specific tasks and artifacts in parallel with the activities specified in this timeline. To receive high marks on senior project, the team must deliver excellent quality work for both the project-specific deliverables and the deliverables that the department requires all project teams to produce.

There are also some general responsibilities of the faculty coach that are not detailed here:

  1. Monitor the team and project progress using your own style. Generally, take a light touch approach, providing both technical and managerial suggestions and guidance when requested, or as you deem appropriate.
  2. Maintain regular communication with project sponsor outside of the team communication channel to determine if the sponsor is satisfied or has concerns about the project or team.
  3. Actively deal with issues brought to you by team members or the sponsor, or when you believe an intervention is necessary for the success of the project, or achievement of the course's educational goals.
  4. Provide regular continuing feedback to the team.
Pre-Start

Prior to the start of the first term
  • As soon as teams are created and projects assigned, setup kick-off meeting with project sponsor for the second or third class session of the term.
    • If the sponsor is remote, arrange the communication mechanism for the regular meetings, and test it if necessary.
  • If the project requires a project agreement, ask the sponsor how the project sponsor should be listed in the project agreements.
  • Edit the appropriate (RIT or non-RIT, full rights or limited use) project agreement file to include the project name, sponsor name, and sponsor entity type.
Fall

Week 1
14 Jan
  • Attend the general Senior Project Expectations meeting the first half of the first class session.
  • Hold a Meet Your Faculty Coach meeting with your teams in the second half of the first class session to inform the team of your style for coaching senior projects, and your expectations of the teams that you coach.
  • Hold the Project Kick-Off meeting with the project sponsor. If done on Monday, it will start after the Expectations Meeting.
    • Remind team to send an agenda to the sponsor at least 24 hours before the Kick-Off meeting
    • If the project requires a project agreement:
      • Bring printed copies of the correct (RIT or non-RIT, full rights or limited use) project agreement edited for this project. You will need one copy for each team member.
      • Bring printed copy of Faculty NDA, if a non-RIT project.
      • Students and coach sign agreements, as needed.
      • If an RIT project, give Senior Project Coordinator agreements signed by students. Sponsor does not sign these. The Coordinator will arrange for the Provost to sign the agreements for RIT.
      • For non-RIT projects:
        • If sponsor is authorized to sign agreements, make a copy of the fully executed agreement for each student. Make a copy of all project agreements and give to the Senior Project Coordinator.
        • If sponsor is not authorized to sign agreements, give originals to the sponsor to get fully executed. Ask sponsor to return a copy of all the fully executed agreements when they get signed.
Week 2

  • Begin regular meetings, at least weekly, with team and project sponsor.

  • Make sure that you have distributed copies of fully executed project agreements to each student, and the Senior Project Coordinator. Remind project sponsor, if that is where they are hung up.
